New Process and Location for University Vehicle Fleet Key Pick-Up and Return

Location: Rear of Jogues Hall (near the Jogues circle) under the overhang

We are excited to introduce a new location and streamlined process for picking up and returning vehicles from the University fleet.  We’ve added a quick and convenient self-serve key cabinet near the University vehicle fleet to enhance efficiency and the user experience. Assistance with the self-service key cabinet is available Monday-Friday 8:30-4:30PM.  We strongly recommend pick up and drop off of keys during these hours. Please carefully review the information below as the process has changed:

Reservation Process:

  • As always, vehicle reservations must be made through EMS, the University scheduling system, by 12:00 PM at least 3 business days in advance. 
  • As part of the updated reservation process, vehicle requesters will need to provide the following information about the person picking up the vehicle in addition to the standard driver and trip details:

-     Full Name of Driver

-     University ID Number of Driver

-     Email Address of Driver

Key Pickup:

Self-service key pickup will be at the key cabinet located at the rear of Jogues Hall (near the Jogues circle).  The key box is located outside under the overhang on the right-hand side if you’re facing the doors.  Please note the person picking up the vehicle keys must be the same person returning the keys.

  • At the cabinet, touch the screen and log in by entering your full University ID number (including zeros).
  • After entering your ID number, touch the Login button and smile – a photo will be taken by the cabinet for security purposes.
  • Enter your personal details (name, address, cell number, and email address).
  • Sign to confirm vehicle pickup and swipe up to touch the Confirm button.
  • The door will open and the screen will display the available key with a green indicator. The corresponding key you are able to take out will be illuminated in the cabinet with a blue light above the key.
  • Press the green key on the screen and pull out the corresponding key from the cabinet.
  • Once you’ve retrieved your key, make sure to close the cabinet door to complete pickup.  If you do not close the cabinet door you may lose future vehicle privileges.
  • Drive safe and have a great trip!

Vehicle Usage:

During normal operations, vehicles will be parked in the Jogues lot. During inclement weather or if snow is in the forecast, the vehicles may be moved to the 2nd floor of the Kelley parking garage.  Look for an email update with location changes if inclement weather.

Vehicle Self-Check:

  • Before you hit the road, perform a quick self-check of the vehicle and complete the self-checkout form linked in your confirmation.  This allows you to report any preexisting vehicle issues and helps avoid charges for fuel and damage from other reservations.

Vehicle Return:

  • When you arrive back on campus, return the vehicle to the designated University vehicle parking spots in the Jogues parking lot.
  • Fill out the self-check-in form to note any maintenance issues or trouble with the vehicle during your reservation.
  • Keys must be returned to the key cabinet by the person who signed them out.
    • Touch the screen to log in, enter your University ID number, and press log in.
    • On the screen the grey key will light up to indicate which spot to return your key.  Insert the key to the corresponding slot noted with a blue light.
    • Ensure the key securely locks in the box (you’ll feel it click into place), close the door, and log out.
